PRIVACY POLICY

Orya Collective aims to adhere to best privacy and confidentiality practices in line with appropriate legislation and guidelines, including but not limited to:

  • Privacy and Data Protection Act 2014 (Vic)

What personal information do we collect from the people that engage with Orya Collective?

We may request the following personal information for members and volunteers of Orya Collective, or participants that wish to engage with activities hosted by the organisation:

  • Name

  • Email

  • Phone contact

How do we collect information?

Orya Collective may collect information from you when you fill out a form or enter information on our site, or trusted third parties (eg. Google Forms).

We generally obtain consent from the owner of Personal Information to collect their Personal Information. Consent may be provided in writing, or may be provided orally, or may be implied through a person’s conduct.

​

How do we use your information?

We may use the information we collect from you when you fill out any contact forms. This can help Orya Collective to organise activities based on the information provided.

​

In addition, we may use the information to respond to your enquiries.

​

We may also use volunteer numbers to assist Orya Collective with grant applications for government agencies or private sector organisations. Personally Identifiable Information (PII) will not be shared to these organisations.

Where do we store your data and how is it handled?

For volunteers or members, your data may be stored on Google Drive or Notion. This is only accessible by Management or Committee.

Orya Collective will take reasonable steps to:

​

  • Ensure that Personal Information is accurate, up to date, complete and relevant

  • Protect the Personal Information from misuse, interference, loss, unauthorised access, destruction, modification or disclosure

  • Destroy or permanently de-identify Personal Information that is no longer needed.

    • Where required, we may keep information for a longer period in accordance with contractual, regulatory or legal requirements

Third-party disclosure

We do not sell, trade, or otherwise transfer data to outside parties. For prospective members, their personal information may be added to the members’ registry.

Notification of a data breach

Should a data breach occur, we will notify do the following:

​

  1. notify you

  2. investigate the cause

  3. do our best to remedy any consequences; and

  4. tell you what steps Orya Collective has taken to prevent a reoccurrence

​

Request to remove Personally Identifiable Information (PII) for members

In accordance Orya Collective’s Model Rules, members have the right to view the register of members. This does not extend to volunteers.
